FERPA Compliance Training

Project Brief

This self-paced FERPA (Family Educational Rights and Privacy Act) compliance training was designed to ensure that Stanford University staff and faculty understand and effectively apply student privacy regulations in their roles, reducing risk and empowering informed decision-making.

Audience: University staff and faculty interacting with student records.

Responsibilities: Instructional design, content development, visual design, and collaboration with SMEs.

What It Looks Like

The Problem

FERPA (Family Educational Rights and Privacy Act) is a cornerstone of student privacy regulations, yet many Stanford staff struggled with understanding and applying its principles effectively in their daily interactions with student records. Non-compliance posed a risk to both students' privacy and the university’s reputation.

The Client

Stanford University tasked me with developing a comprehensive FERPA training program for staff who interact with student records, including advisors, faculty, and administrative staff.

The Solution

Interactive eLearning Course

  • Developed a self-paced online course using Articulate Rise to ensure accessibility and scalability.

  • Included real-life scenarios to demonstrate FERPA compliance in practical situations.

  • Integrated quizzes to assess understanding and provide immediate feedback.

Key Features:

  • Bite-sized modules for on-demand learning.

  • Scenario-based activities to simulate decision-making in compliance with FERPA.

  • Resources such as downloadable checklists and FAQs for future reference.

Delivery and Access:

  • Hosted on Stanford’s STARS LMS for easy access and completion tracking.

  • Available to all university staff as a required training.

Outcomes

  • Over 10,000 staff successfully completed the training within the first year.

  • Improved staff confidence in handling student data as measured by post-training surveys.

  • Ensured FERPA compliance across departments, reducing risks associated with non-compliance.

My Role

As the Instructional Designer, I led the project by:

  • Conducting a needs analysis to identify knowledge gaps and training requirements.

  • Designing the course structure and creating scenario-based learning activities.

  • Developing the course using Articulate Rise, incorporating multimedia elements for engagement.

  • Collaborating with subject matter experts (SMEs) to ensure accuracy and relevance.

  • Testing the course with pilot users and incorporating feedback for improvement.
